Privacy Policy
TheInterviewChair.com is operated by Percentile One Ltd ("we", "us", "our"), a company registered in England. This policy explains what personal data we collect across our platform (candidate, recruiter, and employer portals), why we collect it, who we share it with, and the rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who this applies to
This policy covers everyone who uses TheInterviewChair.com in any role: candidates recording practice interviews, recruiters and employers searching for talent, and visitors to our marketing site.
2. What we collect
Account & profile information
- Name, email address, and password (stored securely hashed — we never see or store your password in plain text)
- Job title, job role, company, bio, phone number, location, and career preferences you choose to add to your profile
- Profile photo and banner image, if you upload one
Try it live (the free demo)
- Your interview in the free demo is private to you. It is never public and is never shown to recruiters or employers.
- We do not keep your answers, the questions you were asked, or your first name. If you speak your answers, your voice is sent to our speech-to-text provider to turn it into text and is not kept by us. Your answers are sent to our AI provider so they can be scored; the result is shown to you on screen.
- To count how many people use the demo we keep only the subject or job you typed, how many questions you answered, your score and the date. This record contains no name, no email and no IP address.
- If you press “Email me this score”, we keep your email address (and first name if you gave one), your subject and score, and whether you ticked the optional tips box, so we can send that email and, only if you ticked it, interview tips.
- To stop abuse we keep a daily usage counter for each network address, and we record page views and events as described below.
CV and career content
- Your CV or résumé text, used to personalise your practice interview questions
- The CV you use for a practice interview is saved to your account so you can reuse it next time without uploading it again. You can remove it from the interview set-up screen at any time, and it is deleted if you delete your account.
- The job title, job specification, and Special Focus topics you provide before an interview
- CV Analyzer: when a CV is analysed we count that an analysis happened, keeping only the approximate country and city (from your IP address), whether you were signed in, which of our pages it came from, and a one-way coded identifier so we can count how many different people use it. We do not keep the content of your CV for this, and no name or email is taken from it.
- Optional email list: if, after an analysis, you tick the box and give us your email address (and, if you like, your first name), we keep those, the exact wording you agreed to and the date, so we can send you interview tips and occasional news. We save nothing unless you tick the box and press the button.
Interview recordings and data
- Video and audio recordings of your practice interviews, if you choose to record one
- The questions asked, your spoken or typed answers, and the AI-generated scores and feedback for each session
- Whether you've made a completed interview public or kept it private, and who you've shared it with
- Pass, Keep on file and Fail results, and any certificate, are generated automatically from your interview score. They are practice feedback, not a real hiring decision, and have no legal effect on you. A certificate is only public if you share its link.
Usage and access records
When you start a practice interview we record that it started: the date, your account email, and whether it used a subscription, an interview pass, or your free interview. We use this to apply plan limits and to give each person one free interview. To stop the free interview being claimed repeatedly, we compare a standardised form of your email address.
My Career Coach and Learn activity
- Messages you send to My Career Coach, and its replies, stored so your conversation history is there when you come back
- Course topics you study in the Learn engine
Recruiter and employer activity
- Candidate searches, saved candidates, talent alerts you set up, and introductions you send
- For accounts we set up directly (recruiters and employers don't self-register), the details you give us over the phone or by email to create your account
Payment information
Paid plans and one-off interview passes are processed by Stripe. We never see or store your full card details. We keep a record of what you bought (plan or pass, status, renewal date and amount) and Stripe's customer and subscription reference numbers, so we can give you access, let you manage or cancel, and handle refunds.
Technical and usage information
- Standard web analytics (pages viewed, general location derived from IP address, device and browser type) via Google Analytics
- Error reports that help us keep the platform running reliably
Activity and security log
When you visit or use our sites we record events such as pages viewed and sign-ins, together with your IP address, browser and device type, and an approximate location (country and city). The location is worked out from your IP address, is not precise, and is often wrong on mobile networks. We use this to keep the platform secure, fix problems, and understand where our visitors come from. Records containing IP addresses or device details are kept for 12 months and then the personal details are deleted. We keep only anonymous daily totals for longer.

4. Who we share data with
We never sell your personal data. We share it only with the specialist providers who help us run the platform, each acting under contract and only for the purposes we specify:
- Microsoft Azure — hosts our databases, file storage, and AI processing infrastructure
- Azure AI / OpenAI-compatible models — processes your interview answers and Career Coach messages to generate questions, scores, feedback, and replies
- ElevenLabs — converts text into the spoken voice you hear from our interviewers and the Read Aloud feature
- HeyGen (LiveAvatar) — powers the live video avatars during your interview session
- Stripe — processes payments for subscriptions and interview passes
- Geoapify — turns an IP address into an approximate country and city. Your IP address is sent to them for that purpose only
- Google Analytics — provides anonymised usage statistics for our marketing site
- Web3Forms — delivers messages sent through our contact form
We may also disclose data where required by law, or to protect the rights, safety, or property of Percentile One Ltd, our users, or the public.
5. How long we keep your data
We keep your account and interview data for as long as your account is active. You can delete your account yourself at any time (Settings → Data & Privacy → Delete my account), or ask us to by emailing us (see "Contact us" below). We will delete your personal data, including your usage records and the record of your free interview, except where we're required to retain something for legal or accounting purposes, such as payment records.
Activity and sign-in records that contain IP addresses or device details are kept for 12 months, after which the personal details are deleted.
If you gave us your email address for our optional email list, we keep it until you ask us to remove it (contact us below) and we will delete it promptly. The anonymous CV Analyzer usage counts contain no name, email or IP address.
6. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data ("right to be forgotten")
- Object to or restrict certain processing
- Request a copy of your data in a portable format
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, contact us using the details below. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
7. Children's privacy
TheInterviewChair.com is intended for people preparing for real job interviews and is not directed at children. We don't knowingly collect data from anyone under 16.
8. International data transfers
Some of our service providers process data outside the UK. Where this happens, we rely on appropriate safeguards, such as Standard Contractual Clauses, to keep your data protected to UK standards.
9. Security
We use industry-standard measures to protect your data, including encrypted storage, access controls, and secure, private cloud storage with time-limited access links for video and audio content. No system is completely secure, but we take reasonable steps to protect your information from unauthorised access, loss, or misuse.
10. Changes to this policy
We may update this policy from time to time. We'll update the "Last updated" date above, and for significant changes, we'll let you know directly.
